Recreation and Grounds Meeting February 9

Recreation & Grounds Committee

Called to order at 7:00 p.m. by the Chair Rick Lewis.

Members Attending: Rick Lewis (Chair), Charlene Jones, Bill Sullivan, Todd McFarland and Julie Abel.
Guests Attending:  Martin Graves (SRP), Dani Junkes (SRP), Paul Goudeau (PRCS), Debbie Lodato, Tony Lodato, Jill Sharif and Aru Pillia.
Members Absent:   Jeff Salmon (BOD Liaison), Donna Mines.

Resident Comments:  Owen Park – area behind Junipers trash needs to be picked up.

Approval of the Minutes:  Charlene Jones moved to approve the January 2009 Committee Minutes as Amended.  The motion was seconded by Julie Abel. The motion passed unanimously.

Reports:

Rick Lewis:  Committee would like staff to confirm with High Sierra Pools that they can get in to clean the Town Hall Pool prior to or after adult swim to ensure that they have sufficient time for cleaning.

Martin Graves & Dani Junkes: Pool bath houses at both Hyland Hills and Meadows Pool are out to bid right now to have the partitions and dry deck redone.  We are also in the process of collecting bids on Town Home Mailboxes in need of repair.

Paul Goudeau:  The Dulles South Multi Purpose Center is in the process of Pre-school lottery right now.  Summer Camp registration starts March 17th.  SRP will be adding a link directly to the Loudoun County Parks and Rec onto its website.

Old Business:

•Rick Lewis is still working on the Trail map for the Website.  It is turning out to be a lot more work than originally anticipated.  May need to bring in additional resources to accomplish what is wanted.

•The entrance at Braddock & Donovan is still in need of an upgrade.  SRP staff along with Toll Brothers staff have spoken with Utility Companies about cleaning the area up after all the work that they have completed there.  So far these requests have gone unanswered.  It may be that the work has to be done in-house so that this entrance gets enhancements.  SRP will then try to recoup the costs from Verizon.
•Tennis Courts - April 1, 2009 completion date is still on target at this time.

•Skate Park - - Jeff Salmon met with the Skate Park Working Group and ARC to review some initial plans that they had.  These plans were modified by members of the Working Group.  ARC has provided updates to these plans.

•Landscape Working Group - Proprietary Staff is still waiting on two additional bids coming in from vendors.
oThe next Grounds Enhancement projects that the Committee will be looking at are roadway enhancements throughout major thoroughfares in the community.

MOTION

Bill Sullivan moved to recommend allowing Clippers, Inc. to be the provider of choice for the Landscaping work provided they have the lowest bid provided by the three vendors.  The motion was seconded by Charlene Jones.  The motion passed unanimously.

New Business:

•Tennis League
oProvided drafts of the 2009 League rules, court times and plans to the committee for approval.
oThe Tennis League will be participating in the USTA kick-off that will happen in May 2009.
oSRP staff will be hanging new Tennis Court dividers with weights.
oNew Tennis Court windscreens have been ordered and SRP staff will be hanging them upon arrival.
oSRP staff will update the SRP Website area with the Tennis League information on it to have a new link to www.tennisengine.com.

MOTION

Julie Abel moved to recommend to the Board of Directors that they accept the 2009 South Riding Proprietary Tennis League Guidelines as amended.  The motion was seconded by Charlene Jones.  The motion passed unanimously.

Meeting adjourned: Charlene Jones moved to adjourn the meeting at 8:15 p.m. The motion was seconded by Julie Abel and passed unanimously.
