Recreation & Grounds Committee

The July 8, 2013 meeting of the Recreation and Grounds Committee, held at Town Hall was called to order at 7:00 p.m., by, Donna Mines, Committee Chair.

Members Attending:  Donna Mines, Marge Morales, Steve Sebestyen, Ken Walsh, Rick D’Amico

Board Liaisons:  Jeff Salmon did not attend; Scott Fisher attended

Members Absent: Charlene Jones, John Winkert

Staff Attending:  Farah Scruggs

Guests Attending: Karin Whitehead and Natalia Bazyluk from High Sierra Pools.

Discussion Items: 
• High Sierra Pool Update (Natalia & Karin):  The committee met with High Sierra Pools and discussed how the 2013 pool season has been going. High Sierra representatives and the Committee discussed the need for more cleaning times at each pool, issues surrounding the basketball hoops at the pools, and the need for more lifeguards at each pool during next season.

Resident Comments: Steve Sebestyen inquired about treating for ticks around pond and trail areas.

Donna Mines inquired about scheduled clean-up after events on the Town Green (movies and concerts).  

Approval of the Minutes:   Steve Sebestyen  moved to approve the June 10,  2013 Recreation & Grounds Committee meeting minutes.  The motion was seconded by Marge Morales. The motion passed unanimously.


Chair Report: Donna Mines

o Donna reported that all action items from Recreation and Grounds last meeting were approved by the Board of Directors. Steve Sebestyen was reinstated as a voting member and Charlene Jones was approved as Vice Chair.

Board Report: Scott Fisher
• Scott provided the Committee with information regarding the bond referendum package which approves the funding and budget for phases II & III of the Dulles South Multipurpose Center.  The phases include an indoor swimming pool, athletic turf and field improvements, parking lot area, etc. This is on the ballot for November and will be marketed to the South Riding area.
• Supervisor Matt Letourneau is scheduled to present during the August Board meeting concerning upcoming transportation changes in the area.

Operations/Recreation Report: Farah Scruggs
• Staff was onsite over the holiday weekend. All pools were busy but overall the weekend went well.
• Due to swim lessons and water aerobics / master swim overlapping during the week at Town Hall. Staff has moved master swim from Town Hall to Meadows on Tuesdays/Thursdays from 7-8pm. Master will have 3 lanes at Meadows. High Sierra, Let Swim and Staff feel this is the best option to open up lanes and more space for patrons at Town Hall.
• Tennis Lessons, League, and Cardio are going well. All are working together seamlessly and have been providing the community with tennis clinics throughout the summer.
• Camps visiting the pool have been going well.
• Cleaning times at the pools have been going well.
• Sign for the Amberlea Park is ordered and should arrive this week. Unable to cut the bushes back due to the time of year. If they are cut back now they will die and become twigs. Burning bushes need to be cut back in the winter months and not summer or fall. 
• Clippers primary focus is cutting grass and pruning tree limbs and monitoring landscape beds that are not irrigated.   They have added a fourth crew to cover the new sections that have been accepted as well as  a production manager who moves around the community to do small projects
• Staff has started to enter all Clippers requests as work orders for better tracking and follow up.
